JOB DESCRIPTION

The Executive Administrative Assistant provides administrative support to the CEO. Maintains travel and appointment schedule, generates executive reports, and interacts with factories and vendors verifying social compliance, quote requests, pricing and other service related information. Works closely with internal and external channels to perform and analyze trend research data. Responsible for personal related matters as required. Establishes and maintains professional business relationships with vendors, suppliers, customers and clients.

QUALIFICATIONS

• More than three(3) years retail/wholesale industry as executive administrative assistant
• Sourcing: Find new vendors for each of the company categories
• Verify social compliance and compare pricing for competitiveness
• Microsoft Software; Word, Excel, PowerPoint, Outlook, Retail Link/ or MAS500 programs
• Superior verbal, written, and telephone communication skills
• Critical thinking; ability to organize, prioritize, and manage multiple projects with overlapping deadlines and production schedules
• Maintain outlook and travel calendars, individual, shared, and personal, keep executives on track with appointments
• Capacity to work independently or within a team environment, follow direction, trouble shoot and meet goals and objectives
• Manage upkeep of executive�s workspace (keep clean, organized, create folders) • Self driven and highly motivated with the ability to work in a fast paced environment, organized,
detail oriented and exceptional follow through and follow up skills

ESSENTIAL DUTIES INCLUDING BUT NOT LIMITED TO

• Provides executive administrative support, may be required to fill in for receptionist
• Manages business/personal calendars, gatekeeper to move executive through his appointments daily
• Submits sample requests from factories, review, Q/C and log samples upon receipt
• Maintains and updates Master Account List: generate emails requesting updated information
• Liaison between management teams; schedule meetings and appointments
• Prepares presentations for weekly sales meetings, takes minutes of meeting, types up and prepares minutes of meeting for review/follow-up
• Reviews Sunday Ads and prepares a report for CEO
• Answers, screens, and direct or take messages for incoming calls to executive office
• Trend research: create market analysis for upcoming projects (pricing/pictures/retailers)
• Work closely with various internal and external channels to perform and execute business related projects and project management
• Manage �Task List� provide weekly updates on projects, perform follow-up tasks, report completed items and request feedback and direction as needed to move projects forward
• Performs sourcing functions as required and other administrative and support tasks as needed
• Orders daily lunch for CEO and for special events as needed
• Meets, greets and announces visitors to CEO and other Executives as needed EDUCATION REQUIREMENT
